STEP 8: Configure Automations

(NOTE: Automations allow for streamlined reminders and actions around document collection.)

  1. Go to the dropdown in the top left of the page, then click Workspace Settings

  2. Click the Automations tab in Workspace Settings.

  3. There are two main Automation workflows to choose from: Expiring Document Reminders & Document Reminders

    • Expiring Document Reminders - This reminder is only used for tracking expiring documents and its trigger is based on X number of days before the Next Expiration Date of any given document in the system.

    • Document Reminders - This reminder is used for getting a Party to upload documentation and its trigger is based on you turning it on then it follows whatever event-based actions you have set within it.

  4. Automations are structured as event-based actions, such as:

    • Sending email - This allows you to choose an email template from your Email Configurations to send within the selected Automation.

    • Add/Remove Tags - This allows to Tag parties based on where they are in the Automation (Ex:"First Request Sent", "Non-Responsive").

    • Wait - This allows you to set a wait time in either days, weeks, or months in between your other actions (Ex: Send email then wait 1 week before sending next email)

  5. Once you’ve set up all your event-based actions, be sure to go to the bottom right of the Automation page to set up a Workflow Interruption Action that will allow you to set up an action upon interruption (Ex: When interrupted remove all Tags added from the Automation).

    (NOTE: Both Automation workflows are considered “interrupted” when a Party uploads a document for you and thus will be removed from the Automation but you can always put them back in the Automation if what they’ve uploaded isn’t correct or is still missing requirements)

  6. Lastly, ensure that your automations are enabled for each Party by checking the activation box in the Party Profile page.
