📌 Issue/Question: How do I access, edit, and optimize email templates in TrustLayer for better communication and compliance tracking?

1. Quick Answer

✔️ You can edit and customize your email templates in TrustLayer by navigating to Workspace Settings > Email Configuration, where you can adjust text, add tokens, and manage senders.

2. Step-by-Step Instructions

1️⃣ Step 1: Access Email Templates

Go to the Workspace Settings from the drop-down menu and select Email Configuration to view all available email templates.

2️⃣ Step 2: Review & Edit Key Templates

Click the template name or the three-dot menu > Edit to customize templates like:

  • Initial Document Request

  • Document Request Reminder

  • Document Expiring Notice

  • Request Forwarding Template

3️⃣ Step 3: Customize Messaging

In the editor, you can:

  • Update subject lines and message body text.

  • Use tokens (like Organization Name, Party Name, or Primary Contact Name) to personalize emails.

  • Preview your changes before saving.

4️⃣ Step 4: Duplicate for Variations

Use the three-dot menu > Duplicate to create variations of emails (e.g., escalating reminders like "Second Reminder" or "Final Notice").

5️⃣ Step 5: Update Sender Details

Click the Senders tab to change the "From" name on your emails. You can also contact TrustLayer to send emails from your own domain instead of [email protected].

6️⃣ Step 6: Add Your Logo

Upload your company logo in General Settings so it appears in all emails.

3. Troubleshooting & FAQs

💡 Common Issue 1: Emails still show TrustLayer branding.

Solution: Upload your company logo and edit the sign-off message in each template.

💡 Common Issue 2: Emails aren't personalized enough.

Solution: Use tokens like HiPartyName or Party Primary Contact Name to make messages more specific.

💡 Common Issue 3: Don’t want emails to come from TrustLayer’s domain.
