2. Step-by-Step Instructions
1️⃣ Access the Review Screen
From the Dashboard: Click View All Documents to enter the review process.
From the Party Screen: Select a vendor’s name or document link to review their specific documents.
From the Project Screen: Open a project, go to Documents, then click Review to see all documents tied to that project.
2️⃣ Verify Document Details
Check that the party name matches the document name.
Use the edit pencil to rename documents with helpful details (e.g., party, document type, expiration date).
3️⃣ Organize & Categorize
Use the Document Type dropdown to assign categories (e.g., Certificate of Insurance, W9, Contract).
Toggle Applies to All Projects on/off depending on whether the document is project-specific.
4️⃣ Add Flags & Notes
Click the Flag button to add notes or tag team members using
@username
.Flags send alerts so team members can review alongside you.
5️⃣ Archive or Take Actions
Use Archive to move documents out of active status.
Under More Actions, send a document request email if the document is still non-compliant.
6️⃣ Review Requirements
Select the relevant request under Requirements From and click Edit.
Validate AI-captured details (dates, limits, checkboxes) and add missing information (e.g., additional requirements).
Use the earliest expiration date for requirements with multiple expirations.
7️⃣ Mark Items Reviewed & Save
Use checkboxes to mark items as present → this fills the compliance circle.
Toggle To Review to show that the document has been looked at (not the same as marking it compliant).
For non-expiring documents, select Always Valid from the dropdown.
Click Save to confirm changes.
3. Troubleshooting & FAQs
💡 Issue: My compliance circle isn’t filling up.
→ Solution: Ensure you’re checking off each requirement; the circle only fills as items are marked present.
💡 Issue: Expiration dates are missing or incorrect.
→ Solution: Enter the earliest expiration date manually—TrustLayer will track and notify you as items expire.
💡 Issue: The document type is wrong.
→ Solution: Use the Document Type dropdown to reclassify it correctly for better organization and searchability.
💡 Issue: I marked “To Review” but compliance isn’t showing.
→ Solution: Remember, “To Review” means someone has looked at it—compliance is indicated by checked requirements.
