Using Contacts & Messages on Party Profile Page

The Contacts & Messages tab is 1 of 5 tabs located on the Party Profile page for each of your individual Parties. This tab offers the ability to see all contacts for an individual party, send and receive messages, jump to the Document request page, and more.

Managing Your Contacts

Within the Contacts tab of the Contacts & Messages section, you can see a list of all contacts for an individual party. These can be manually added by a TrustLayer user, or extracted from a Document during the Document Review Process.

Search current contacts

1 Click into the search bar and type who you are searching for. This is particularly helpful if this party has multiple contacts.

Add a New Contact

1 Click on the blue plus sign button.

2 In the new window, enter the contact's known information. Be sure to provide a Contact name and Email at minimum to send messages.
โ€‹Note: If the new contact should be the primary contact be sure to click the Use this contact for automated request/reminders box.

3 Click the blue Create Contact button.

Edit a Contact

1 Click the 3 Dots to the right of the contact needing to be updated.

2 Click Edit.

3 Edit the information that needs to be updated.

Note: If needing to adjust the primary contact, click the box next to Use this contact for automated document requests/reminders.

4 Click the blue Update Contact button.

Delete a Contact

1 Click the 3 Dots to the right of the contact needing to be updated.

2 Click Delete.

Note: The Delete option will not be available for the primary contact. To delete a primary contact, you would need to select a new primary contact by using the edit option first.

3 Confirm the action by clicking the red Delete Contact button on the window that opens.

Send a Message

1 Click the 3 Dots next to the contact you would like to send a message to.

2 Click Send Message.

3 This will jump you to the Messages tab in a conversation with the selected contact. Type the message you wish to send in the text box where it says Enter your message...

4 Click the blue Send button when your message is finished.

Managing Your Messages

Within the Messages tab of the Contacts & Messages, you can see a list of all conversations with an individual party.

Search Current Conversations

1 Click into the search bar and type keywords or contacts you are searching for to find within existing conversations.

Send a Message

1 Type the message you wish to send in the text box where it says Enter your message...

Note: If this is your first message, you will see a blue start conversation button in place of the text box.

2 Click the blue Send button to send the message.

Start a New Conversation

1 Once you are in the 'Messages' tab, click on the blue "+" button.

2 In the new pop-up, edit the Recipient(s) and the Subject line as needed, then enter the Message you wish to send in the text box.

3 Click the Send button.

Saving an Attachment as a Document

1 After the reply is received, click on the dropdown next to the attachment.

2 Select the Save in Documents option. This will save the attachment in the Documents tab and will allow you to review the document without the party having to upload the attachment.

Edit Participants in a Conversation

1 Click on the conversation you would like to add participants to.

2 Click on the blue Edit Participants link.

3 Add participants by entering the new email and remove current participants by clicking on the "x" next to the email listed.

4 Click Update.

Note: Any newly added participants will receive future messages moving forward.

Message Symbols

When messages are sent via TrustLayer, the system will generate different symbols based on whether the messages are successfully sent or not. Below are the symbols and what they mean.

1 After a message is first sent, no symbol will appear showing the action has been processed.

2 Once a message is delivered, a blue checkmark will appear near the time stamp.

3 After the message is delivered and the message is opened, a second blue checkmark will appear near the time stamp.

4 If a message is undeliverable, a triangle error symbol will appear. This could be due to many reasons. If you are unsure why you are receiving an error, please reach out to [email protected] and our Support Team will happily assist you.

5 To see a history of these events, you can hover over the gray circle icon.

Additional Page Options

Within the Contacts & Messages section of the Party profile page there are a few icons that allow you to make adjustments to the party, jump to reviewing the party's documents, and also send a reminder request when needed.

1 The Editing pencil will allow you to edit party information. When clicked on, a new pop up will appear with the option to make adjustments to the Party's info.

2 The Mark Inactive button will allow you to make a Party inactive. After this icon is clicked, a pop up to confirm the action will appear.

3 The Send Reminder icon, will allow you to send a follow up Document Request. When clicked on a new pop up will appear allowing you to create a custom one-time message to the Party.

4 The Review Documents icon will allow you to jump into the Document Review screen for all of this Party's documents.
